Upload Sales to Database

1. Search the MLS for comparable sales. Even include sales that are slightly larger or smaller than you would typically use. If you have less than 30 sales you may want to include comparable sales from competing neighborhoods.

2. Download the sales from MLS to a csv spreadsheet.

3. The spreadsheet must have columns A - U for the following fields.

* Remove all commas and the date fields must be in the following format: YYYY-MM-DD

4. The following fields must have a number between 0 - 9. Location, View, Design, Quality of Construction, Condition, Below Grade, AC & Heat, Car Storage, Porch, Pool and Additional.

* To make it easier for you to understand when you view the adjustments make the features that you believe are superior a higher number, such as 1 for pool and 0 for no pool. Use the UAD settings for condition such as 1 for New, 2 for Excellent, 3 for Good, 4 for Average, 5 for Fair and 6 for Poor. Also, use numbers that represent the feature such as 2 for two car garages, 1 for one car garage, 0 for no garage, etc.

5. We will use view for this example. A lake view may be 5, preserve view 4, residential view 3 and busy road view 1. You need to give each specific view a different number.

6. Additional can be used for anything that would not be part of another field such as upgrades, REO, short sale, etc.

7. We realize you probably will not drive by 20 or more sales, however you can determine view from Google Maps, condition by viewing photos from MLS and construction quality by viewing photos and/or looking at the assessed building value.

8. Once you have all fields filled in save the file as a .csv to your desktop. Remember dates need the following format YYYY-MM-DD and no fields can have commas.

9. Log In and go to the "Upload Sales in CSV File" page.

10. If you have sales already in the database from a different appraisal you should delete those sales.

11. Now click the "Choose File" button and find your csv file that you saved to the desktop and click "Upload" then check for errors.

12. If you have any fields that have errors click the address and fix the error. * If you have more than 1 error for a particular sale you need to fix both errors at the same time or it will continue to give you an error. If you have numerous errors it is easier to delete all sales and fix the errors in your csv file and upload again.

13. Once there are no errors go to the "Active Sales" page to view the sales that were uploaded.
